1. Student information
Start with the foundation: your student records.

The key question to ask is:
Do we have complete and current information for every student we need to report?
2. Course enrolments
Next, look at the relationship between students and their courses.
Course enrolment information should accurately reflect what the student is studying, when they commenced and the relevant course and admission information required for reporting.
This is particularly important where student circumstances or course information have changed during the reporting period.
3. Unit enrolments
Unit-level information is another area that deserves careful attention.
Providers need confidence that enrolment activity accurately reflects what occurred throughout the study period — including relevant dates, enrolment statuses, study load and fees.
Changes such as withdrawals or enrolment adjustments should also be reflected correctly in the underlying data.
4. Data quality and validation
Having information in your Student Management System doesn’t necessarily mean it’s ready to report.
Before submission, providers should look for missing information, inconsistencies, duplicate records and validation issues.
It’s also worth looking for patterns.
If the same issue appears across multiple records, it may indicate a broader workflow, configuration or data collection problem rather than a one-off error.
5. Pre-submission readiness
Finally, your reporting process should include a clear internal review before submission.
Student Administration, compliance and relevant reporting contacts should have confidence that the data has been reviewed, validation issues have been addressed and the submission is ready.
The aim is to make the final submission a confirmation step — not the point at which your team discovers problems.
